I retype the same 15 line items into every budget

Keep one budget that holds your standing positions, save it as a Workspace Template, and every new job opens with those names, rates and units already typed. You build the list once and start from it every time.

The unit of reuse is a whole budget, which means your crew list arrives together with the Variables, AddOns and units that belong to it.

Build a standing-positions budget once

  1. Create a budget and type in the positions that come back on most jobs: names, units, day rates, the AddOns you always apply, and any Variables your rates depend on.

  2. Keep it to the lines that appear nearly every time. Job-specific work is added when the job needs it.

  3. Open the menu in the budget header and choose Create Template.

  4. Give it a name your team will recognise, your standard crew list for example, then click Add to Template Gallery.

The budget you started from stays exactly as it was. The template is a copy.

Start every job from it

  1. Click Templates in the left sidebar and stay on the Workspace Templates tab.

  2. Hover the tile and click Use this template.

  3. Fill in Budget Name, choose a Project, then click Create Budget.

Project here means the container that holds budgets, not the budget's own name. The dropdown lists the Projects you are a member of.

Your lines arrive with their names, fields, units, Labels, Variables and AddOns in place. Client, Start date and End date arrive blank, so last year's client name stays behind.

When the last job was close enough

If a recent budget already holds the positions you want, copy it instead. On the All Projects page open a budget's three-dot menu and choose Duplicate, or use Duplicate Budget in the editor menu. The copy takes the original's name with (Copy) added. Rename it in the Info sidebar, then remove what this job does not need.

Good to know

  • Keep as many templates as you like, one per job type or per client.

  • A template is a snapshot of your budget on the day you saved it. When a rate changes, open the tile's three-dot menu on Workspace Templates and use Edit Template to update it there. Every new budget then starts with the new rate.

  • A Workspace Template starts in Euro. Set Budget Currency in the Info tab of the new budget if your job is in another currency.

  • To build a list from scratch rather than from an existing budget, use New Template on the Templates page.
