Budget templates

Every job we do has the same shape. Can I stop rebuilding it?

Every job we do has the same shape. Can I stop rebuilding it?

Yes. Take a budget you have built the way your company works and save it as a Workspace Template with Create Template in the menu of the budget header. Everyone in the workspace can then start a new job from that shape in a few clicks, with the chapters, the standing lines, the Variables and the AddOns already in place.

Turn a finished budget into a template

  1. Open the budget whose structure you want to keep.

  2. Open the menu in the budget header and choose Create Template. The window is titled Turn this Budget into a Template.

  3. Type a Template Name. A Description is optional and helps your team pick the right template.

  4. Optionally click Change Image to cycle through the stock images, or Upload Image for your own.

  5. Click Add to Template Gallery. The original budget stays exactly as it was, and the template is a copy.

Start the next job from it

  1. Click Templates in the left sidebar.

  2. Stay on the Workspace Templates tab. It holds everything your workspace has saved.

  3. Hover the tile and click Use this template. The window reads Create Budget from template.

  4. Fill in Budget Name, optionally Description, and choose a Project.

  5. Click Create Budget. The new budget opens in a new browser tab.

Project here means the container that holds budgets, not the name of the budget itself. The dropdown lists the Projects you are a member of, and once a name and a Project are in, the button is ready.

What comes across

  • Sections and nested Sections.

  • Cost Items and their fields.

  • Variables.

  • AddOns, including overtime days and hours.

  • Currency conversion rates.

  • Labels and field units.

  • Any Offer Document attached to the budget.

You type a fresh budget name and description. Client, Start date and End date arrive blank, so last year's client name stays behind.

Good to know

  • Keep as many templates as you like, one per job type or per client.

  • A Workspace Template starts in Euro. Set Budget Currency in the Info tab of the new budget if your job is in another currency.

  • To build a template from nothing, use New Template on the Templates page.

  • To change a template's name, description or image later, hover its tile on Workspace Templates and use the three-dot menu, then Edit Details. Edit Template opens its contents for editing.

  • For a funder's or agency's own structure, start from the free Template Gallery and save your tailored version the same way.
