How do I make sure freelancers only see their own project?

Project membership controls this by design. Invite someone to one Project and that is the only one they see, which means you decide exactly what a freelancer has access to before they ever log in.

Each Project is a room with its own guest list. The budgets inside are visible to the people on that list.

Set it up

A Project Owner adds and removes people, so this is a two-minute job for whoever owns the Project.

  1. Open Projects in the sidebar and find the Project on the All Projects page.

  2. Open the row actions menu and choose Member. A list of everyone in your workspace opens. Tick the freelancer's name. The same list sits on the Project's own page, under Members in the sidebar.

  3. Leave them off every other Project.

The Project page states the rule at the bottom of its sidebar: Only team members can see and work in this project. As soon as membership saves, everything inside that Project is open to the freelancer, and nothing outside it is.

A freelancer must be a member of the workspace before you can add them to a Project, so send the invitation first from Settings, Team. The steps are in Can the service production work in this budget if they are not in our company?.

Workspace role and Project membership work side by side

A workspace role (Editor or Admin) governs what someone can manage across the workspace. Project membership governs which budgets they see. Inside a Project, membership is what counts, so an Admin sees a Project once they are one of its members. That is what makes the guest list a dependable boundary: the people on it are the people who see the budgets.

When a booking ends

Open the Project, untick the freelancer under Members, and their view of that Project closes at once. If they are leaving the team altogether, remove them from Team with Remove User and the seat is free again.

Good to know

  • A budget that is not filed in any Project is visible to every member of the workspace. File the budgets you want to keep private into a Project, and everyone else's view narrows to match.

  • To bring a colleague into a budget they have not seen yet, add them as a member of the Project it is filed in.

  • When a freelancer returns for another job, the Projects they belonged to before are waiting for them.
