Each person in your workspace uses one seat, and the seat is freed the moment you remove them. One seat can therefore carry a run of freelancers across the year, one booking after another.
An invitation counts from the moment you send it, so you plan seats around when you invite people.
How the count works
Occupied seats are members plus invitations that are waiting for an answer. When someone accepts, their invitation becomes their membership and they keep the same seat. A declined invitation frees its seat.
An Admin reads the current figure in Settings, Administration, Plan & billing. It shows the occupied seats and splits them into members and pending invites, which is the number to plan with. It counts every invitation in the workspace, whichever Admin sent it.
Hand a seat from one freelancer to the next
Open Settings, then Administration, then Team.
Find the leaving freelancer's row under Active and open the row menu.
Choose Remove User. It takes effect immediately.
Click Invite new Member, put the next person's address on a row, choose Editor or Admin, and click Send Invitations.
The seat is free the moment you remove someone, so the new invitation can go out straight away. Nothing of the departing person's work is deleted. Their budgets stay in the workspace exactly where they were.
Plan a busy week
Invite when the booking is confirmed. The invitation holds a seat from the moment it is sent, so sending it when the person is booked keeps your seats for the people who are working.
Invite several people in one go. The Invite Team Members window takes one address per row, so a whole crew can go out together.
See who has answered. The Invited list on the Team panel shows the invitations you sent until each person accepts.
Good to know
A returning freelancer picks up where they left off. Removing someone ends their workspace membership and keeps their Project memberships, so when you invite them back for the next job, the Projects they belonged to are there waiting.
Splinde always keeps one Admin in the workspace, so promote another Admin before the current one steps away.
Seats are managed by Admins. They invite, remove and read the count.
