Can the service production work in this budget if they are not in our company?

Invite them into your workspace as a member, then add them to the Project their budget sits in. Both sides then work in one budget, with one set of numbers and no files travelling back and forth.

A member of your workspace opens and edits budgets like anyone on your team, and you see each other in the budget while you work.

Invite them

A workspace Admin sends the invitation from Settings, under Administration, on the Team panel.

  1. Click Invite new Member. The Invite Team Members window opens.

  2. Type one email address per row. The role beside each address starts as Editor, which gives your partner full working access to budgets.

  3. Click Send Invitations. They receive an email, and their name appears under Invited until they accept.

When they accept, they become a member of your workspace. A member uses one seat, the same as a colleague. See how seats work.

Decide what they see before they log in

Membership of a Project decides which budgets someone sees. A budget filed in a Project is visible to that Project's members, so file the budgets your partner works on in one Project and keep the rest of your work in others.

  1. Open Projects in the sidebar and find the Project on the All Projects page.

  2. Open the row actions menu, choose Member, and tick your partner's name. A Project Owner does this.

From then on, the partner's view contains that Project and nothing else. Anyone you add to the workspace must be a workspace member first, which is why the invitation comes before the Project step.

When the job is done

Open Team, open the row menu for the person and choose Remove User. It takes effect at once, and the seat is free for the next person. The budgets they worked on stay in your workspace, with every number in place.

Good to know

  • If you invite the same person back for the next job, the Projects they used to belong to are waiting for them.

  • Budgets that are not filed in any Project are visible to every member of the workspace. Filing a budget in a Project is how you give it a defined audience.
