What is a Label?

What is a Label?

A Label is a coloured tag you attach to a Cost Item so you can track spend across categories that don't map to your Section structure, things like department, cost type, or client-billable status. It answers questions that cut across your budget tree: how much did we spend on freelancers, or on anything tagged "reshoot," across every Section.

What it's for

Sections organise a budget by where costs sit. Labels organise it by what a cost is, regardless of where it sits. A Cost Item can carry Labels from several different Label Groups at once, one crew day rate tagged both "Department: Camera" and "Billable: Client," so you can slice the same budget multiple ways without restructuring it.

How it works

Labels live at the workspace level, not inside a single budget. Once created, a Label is available on every budget in the workspace. Assign one from a Cost Item's label strip, at the bottom-left of the row: click Add Label, then pick an existing Label or type a new name to create and assign it.

Labels can be organised into Label Groups. A Cost Item carries one Label from each Group, so a Group suits anything mutually exclusive, like a status or a department. Labels outside any Group combine freely, and a Cost Item can carry as many of those as you like.

Creating, renaming, recolouring and deleting Labels and Label Groups happens in Settings, Labels, which Admins manage for the whole workspace.

Labels feed two places that read them live: the Labels block in Smart Subtotals, which totals spend per Label right in the sidebar, and the Group by Labels Budget Block, which turns a Label Group into columns in an Offer Document. Group by Labels is driven by a Label Group, so put the Labels you want as columns into one Group.

Good to know

Deleting a Label removes it from every Cost Item in every budget of the workspace in one step, so a retired category disappears everywhere at once.
