Build versions

The client wants a four-day and a five-day version. Can I avoid five spreadsheets?

When the agency wants the shoot costed on four days and on five, Add Scenario takes a full independent copy of the budget and puts it beside the original as another column in the same editor. Both versions stay live in one budget. The original column is called Main, and each scenario totals itself and shows its own difference against Main without you exporting anything.

Create the second version

  1. Open the budget and scroll the editor to the right, past the last column, to the dashed Add Scenario card.

  2. Under the heading the card reads based on and shows which budget the copy will start from. The default is Main.

  3. Click the card's button to copy that budget. To start from a different one, click the chevron beside the button and pick it from the list.

  4. The new column appears and becomes the active column, ready to work in.

  5. Double-click the column title to rename it. A new scenario is named after the Main budget with a suffix, so give it the client's own words, such as "4 Days" and "5 Days".

Working across the columns

The versions render as columns side by side. Click anywhere inside a column, or into any field in it, to make it the active one. The sidebar Total, the Sections and Variables tabs, and the budget name in the header all follow the active column. Columns are ordered with Main first, then the scenarios in the order you created them.

A scenario built from another scenario sits at the same level beside Main, so every version is one click from every other.

Good to know

  • Each scenario is a full independent copy. Change the day count, an Amount, a Rate or an AddOn in one column and the others keep their own figures.

  • Cost Item and Section names are set on Main and flow to every scenario, which keeps the rows lined up for comparison.

  • Each scenario keeps its own Variables, so a what-if rate in one column never leaks into Main or into another scenario.

  • A budget can carry as many scenarios as you need, and none of them count as another budget in your workspace.

  • Duplicate Budget copies Main and every scenario together into a new, independent budget.

  • With several scenarios open, a Scenario Comparison block or the sidebar's single-version tabs keep the focus on two.
