I have a SCoPE KVA in Excel. How do I get it ready to import?

Leave the SCoPE KVA workbook as SCoPE saved it: an .xlsm file with its two sheets, Voreinstellung (SCoPE's sheet for the project settings) and KV (the cost estimate itself), and their cell positions untouched. Import Excel reads those two sheets at SCoPE's fixed positions, so a workbook in SCoPE's own layout arrives with its project details, Sections and Cost Items in place.

Two minutes on this checklist before you upload is the quickest route to a complete budget.

The checklist

  1. Keep the .xlsm format. The macro-enabled file SCoPE ships is the format the importer reads, and the file picker offers .xlsm files.

  2. Keep the sheet names. The workbook has one sheet named exactly Voreinstellung and one named exactly KV.

  3. Keep the version marker. The first row of Voreinstellung, column A, holds SCoPE's version number, 19 or 20. Version 18 workbooks are read as well.

  4. Leave the rows on Voreinstellung where SCoPE put them. Project name, product, film title, client, agency, director, producer, production manager, DoP and post production are read from fixed positions in column B, and they arrive filled when the rows are where SCoPE left them.

  5. Leave the social-charge percentage cells in place. On a version 19 or 20 sheet they sit at B34, C34, B35 and C35, and they come across as Variables on the new budget.

  6. Keep the KV column layout. Section rows are recognised from column H, and the cost lines sit under a subsection whose column H reads M/Q, exactly as SCoPE lays them out.

  7. Keep each cost line complete. A line has its number in column A, its name in column B for the German item name or column D for the English item name, and plain numbers in the quantity and days columns. Write 2 rather than 2 days, so the cell holds a number.

Good to know

  • Only the values on Voreinstellung and KV are read, so extra sheets, formulas, formatting, comments, charts and pivot tables can stay in the workbook.

  • A clean export straight from SCoPE is the best source. If you have edited a workbook heavily, re-export a fresh copy from SCoPE and import that.

  • Pick Calculated cost items in the import options for a live budget, and All cost items to bring the empty lines across as a reusable shape.
