I have last year's KVA in Excel. Do I retype 200 lines?

Last year's job lives in a SCoPE KVA workbook, KVA being the German trade word for a cost estimate, and this year's budget should start from it instead of from a blank page. Import Excel reads the .xlsm straight into a new budget and builds the Sections, the Cost Items, the quantities, the days and the fees for you. It reads SCoPE version 19 or 20 workbooks.

Run the import

  1. On the projects overview click New Budget, or on a single project page click Add Budget.

  2. Choose Import Excel.

  3. The naming step comes first. Type a Budget Name, optionally a Description, and pick a Project. Both the name and the project are needed before Create Budget turns active.

  4. Click Create Budget. This moves you on to the file step.

  5. Click Click or drop to select file and attach the .xlsm.

  6. Three option groups appear. Calculated cost items brings across the lines that carry both a quantity and days, which is what you want for a live budget. All cost items brings the empty lines too, which suits building a reusable shape. Then choose national, international or both, and whether to read the German item name or the English item name column.

  7. Click Start import. When the progress bar finishes, click Open Budget 🚀. That saves the name, description and Project you typed and opens the budget in a new browser tab.

What comes across

The budget name and client, the Section structure, every Cost Item with its number, name, quantity, days and fee, and the two social-charge percentages in the workbook, which arrive as Variables. Lines marked for those charges carry the marks over.

After the import: check and add

A few parts of a SCoPE workbook are SCoPE's own calculations, so you finish them in Splinde in a couple of minutes.

  1. Compare chapter totals. Open the workbook and the budget side by side and check each chapter.

  2. Enter prep and wrap days. Lines arrive with quantity, days and fee. Add prep and wrap days to the lines that use them.

  3. Add the charges SCoPE computed for you. Rows such as the employer share, the artists' fund, agency commission, withholding tax and non-reclaimable VAT are calculated by SCoPE itself. In Splinde you drag the matching AddOn from Insert → AddOns onto a Cost Item, or use the Markup AddOn with a Variable of your own for a rate that has no card.

  4. Add the sections after the bad-weather section. The import reads the workbook up to that section. Enter the lines that follow directly in the budget.

  5. Restore any empty Section you want. Empty Sections are left out, so use Add Section to bring one back.

  6. Check the currency. The imported budget starts in EUR.
