Can I calculate prep, shoot and wrap days on one line?

Crew and gear are billed across prep, shoot and wrap, and the client's cost controller wants all three phases visible in the budget. A Production Cost Item carries Prep, Shoot and Wrap as three separate day counts on one line, so two prep days, three shoot days and a wrap day read as six days in one total while the phases stay visible behind that number.

Build the line

  1. Open the sidebar Insert tab and stay on the Cost Items sub-tab. The hint above the cards reads Drag and drop Cost Items into your Budget.

  2. Drag the second card, Production Cost Item, onto the budget. Its description reads Calculate Prep, Shoot, and Wrap days separately.

  3. Drop it on a Section header to land it first inside that Section, or on the row at the bottom of the Section that repeats its total to land it last.

  4. Name the position, then fill Amount, Prep, Shoot, Wrap and Fee.

The line total is Amount times total days times Fee, and total days is prep plus shoot plus wrap.

When prep is billed at a different rate

A line carries one Fee, which applies to all three day counts. For a gaffer who preps at half the shoot rate, give the position two lines: one for the prep days at the prep rate and one for the shoot and wrap days at the full rate. With a full rate of 500 and a prep rate of 250, two prep days come to 500 and three shoot days plus one wrap day come to 2,000. Keep the two lines next to each other inside the same Section so they read as one position and roll into the same subtotal.

Good to know

  • Choose the line type as you build. A position with prep or wrap starts from a Production Cost Item, and a position billed on a flat count starts from a General Cost Item.

  • The middle column is headed Shoot while prep and wrap are in play. On a line without them the same column reads Days, or the name of whatever unit you chose.

  • Day counts take decimals. Half a prep day is 0.5.

  • Each count is its own field, so type 2 in Prep and 3 in Shoot. A field takes a plain number or one reference started with @, which lets Shoot follow a Variable that holds the shoot-day count.
